PATOffice – Patent Watching, Patent Monitoring, Patent Search and Patent Intelligence for IP and R&D Teams

PATOffice is a platform for patent watching, patent monitoring, patent search and patent intelligence. The software supports IP teams, patent departments, innovation managers and R&D teams in finding, understanding, prioritizing and leveraging relevant patent information faster — making it actionable for strategic decision-making.

Focus and Positioning

PATOffice is not an IP Management Software (IPMS) and is not designed for managing your own patent portfolio. As a patent intelligence and monitoring platform, PATOffice is specifically built to analyze and monitor patent information and make it actionable for operational decision-making and innovation processes. Renewal management (renewal fee payment) as well as the administration of in-house invention disclosures and office actions are not part of the platform. We are happy to discuss the differences and integration options between PATOffice and your existing IPMS.

Core areas of the platform:

  • Patent watching and patent monitoring
  • Patent search and patent research
  • Patent family monitoring
  • Applicant monitoring and competitive intelligence
  • Technology scouting and technology intelligence
  • Innovation monitoring
  • AI-powered patent analysis
  • Collaboration between IP and R&D teams

Which problems does PATOffice solve?

Many companies face similar challenges in patent monitoring and patent intelligence:

Risk mitigation

  • Relevant competitor patents and applications are detected too late
  • The risk of third-party patent infringement increases because no structured analysis is in place
  • Opposition deadlines are missed due to a lack of time management and process optimization
  • R&D investments are lost because it was not detected early enough that a competitor had already filed a comparable development
  • New technological trends and market developments are recognized too late

Cost and time reduction

  • Patent information is scattered across different systems
  • Manual evaluations consume significant time
  • IP expert systems are barely used — R&D teams struggle with solutions that are used only sporadically and are not intuitive (low adoption)
  • Coordination between IP and R&D teams takes too long
  • The evaluation process is often poorly optimized or automated — with high dependency on individual people within the IP team
  • IP teams lose oversight of evaluation processes

Positive business impact

  • Important information does not reach the right people at the right moment
  • Insights from evaluations are not captured and processed in a structured way — drowning in individual data points, no trends become visible, and decision-making suffers
  • R&D teams need high-quality summaries of patent specifications for fast and easy analysis
  • Speed of R&D is slowed because patent information does not flow into innovation decisions in a timely manner
  • New insights from the patent landscape are not systematically used for strategic decision-making

Who is PATOffice for?

  • Globally oriented companies operating across diverse market structures — they need to monitor patents across multiple countries and jurisdictions
  • Companies in disruptive technology fields — they need to be aware of alternative solutions to the problem they are solving today
  • Companies in fast-moving innovation environments (e.g. drone technology, AI + hardware)
  • Technology-driven SMEs

Industries and Customers

PATOffice is used across a wide range of industries. Typical industries include: mechanical engineering, renewable energy, automotive, chemicals, life sciences, and pharmaceuticals, as well as legal and financial services (including patent law firms). Customers include, among others: Coperion, Bardehle Pagenberg, planqc, Sikla, Otto Fuchs, Tyrolit, Hatebur, Zarges, Weber Maschinenbau, Arcus Elektrotechnik, and Hillenbrand.

Typical questions from IP and R&D teams

  • What is the state of the art in this field?
  • Can a patent be filed for a specific technology?
  • Do we have freedom to operate in this market?
  • Which comparable patents to my invention / invention disclosure do I need to analyze?
  • Is there a risk of infringing other companies' patents?
  • Which patent applications do we want to oppose, and on what grounds?
  • Which patents are expiring and could open up market opportunities? (e.g. for generic manufacturers in pharma)
  • Which competitors are particularly active technologically?
  • How is the patent strategy of our competitors evolving?
  • Which technologies are currently developing especially dynamically?
  • How can collaboration between IP and R&D be improved?

Patent Watching and Patent Monitoring

PATOffice supports companies with continuous patent watching and automated patent monitoring. The platform distinguishes seven monitoring types, organized in two groups:

Document-based monitoring (focused on individual patent documents or patent families)

  • Legal event monitoring (prosecution status monitoring): where exactly a patent stands in the process
  • Status monitoring: whether an application is granted, withdrawn or amended
  • Patent family monitoring: in which countries a patent is filed and the status in each
  • Citation monitoring: whether a patent is cited by others — relevant for foundational patents, licensing opportunities and important technological connections

Profile-based monitoring (technology- and market-oriented)

  • Applicant monitoring: observing competitors to see what they are filing (also referred to as competitor monitoring by R&D teams)
  • Classification monitoring (IPC/CPC): monitoring technology areas to see who is active and what is being filed
  • Keyword monitoring: cross-classification monitoring to detect early on where disruptive developments might emerge

Alerts are the technical mechanism used to notify users in document-based monitoring types — not a standalone monitoring type. Processing and connecting all monitoring types and strategies enables trend detection and development tracking. Results are visualized in dynamic dashboards and reports.

Patent Search and Patent Research

PATOffice supports global patent searches through four dedicated search modes: Boolean/field-based search, combination search, AI-assisted search and expert syntax search. The focus is on usability and reliability. The data is updated daily, covers more than 180 million records worldwide and spans over 130 jurisdictions.

Customers can perform all common search types: novelty searches (prior art / state of the art), infringement searches (freedom-to-operate), opposition searches (invalidity searches) and more. PATOffice also provides a free license for external service providers (search firms and law firms) to make external collaboration on searches as simple as possible.

AI-Powered Patent Analysis

PATOffice integrates AI features for translation, summarization, comparison, analysis, prioritization and search support (semantic search). Further AI features related to AI agents, multi-agent systems (MAS) and the Model Context Protocol (MCP) are in preparation and will be made available to customers in the near future.

Specific features:

  • Automatic translation of patent specifications
  • Automatic summaries of patent specifications
  • Patent comparisons
  • Prioritization of relevant documents
  • Accelerated expert evaluations
  • Simplified presentation of complex content
  • AI-powered semantic search

Collaboration between IP and R&D Teams

PATOffice provides extensive collaboration features for cross-team work:

  • Commenting, @mentions, replies, pinning and +1 functions
  • Task management and follow-up automations
  • List and table previews for faster joint review
  • User- and team-specific dashboards (visualizing status and pending tasks)
  • Personalized notification settings (linked to task management)
  • Pre-built search forms and search templates (intuitive to use)
  • Granular user roles and permissions — users see what they need without clicking through menus
  • Extensive distribution, classification, scoring and alert automations (step-by-step workflows, reducing human error)
  • Routing of relevant information to the right people
  • Cross-team decision-making and knowledge sharing

Workflow-First Approach

PATOffice follows a workflow-first approach and embeds patent information directly into operational decision-making and innovation processes:

  4. Documents are evaluated and commented on
  5. Risks or opportunities are analyzed
  6. Tasks are distributed
  7. Decisions are aligned faster
  8. Automated trackers and alerts are set up and adjusted
  9. Results are visualized in dynamic dashboards and reports
